Overview
When you sign in you see the To do list: reminders, orders, requests and deadlines, each with a one-line summary and what is being asked.
Automatic categories
Orders, payment reminders, quotes, customers, suppliers, invoices, accountant, bank, ads, notifications. Rename or add categories; if the assistant gets one wrong, correct it with one click and it learns.
Important
Mail that needs action soon gets a red counter in the menu, apart from everything else.
Calendar from your mail
“Meeting Thursday at 10”, “payment by the 20th”: dates written in emails become suggestions you add to the calendar in one click. Every event exports as .ics.

Reply

The assistant writes the first draft, you have the last word.

Drafts ready
For a reminder, an order or a quote request the assistant drafts the reply and saves it in the Drafts folder, so you also find it in Outlook or on your phone. It never sends anything on its own.
PDF documents
A request becomes a quote, an order confirmation or a letter, with your letterhead and automatic numbering. Prices the assistant doesn't know are left for you to fill in: it never makes them up.
Assisted writing
Say what you want to tell and the assistant writes the email. Select text to correct it, make it more formal, shorter, or translate it.
Editor and attachments
Images pasted or dropped into the text and resized, tables, colours, signatures. Drop attachments anywhere, preview PDFs, and get a warning if you mention an attachment you forgot.

Shared mailboxes
The owner adds mailboxes and decides who sees each one: one person, some colleagues or the whole company.
Discussion on the email
Under every email there is an internal team chat with @mentions. It never reaches the sender.
Who is replying
If a colleague is already writing the reply, you see it before you start.
Activity log
For every mailbox and every email: who read it, who replied, who archived it, and when.

By voice
Press the microphone and speak: the question is sent when you stop talking.
Actions you confirm
The assistant suggests: prepare drafts, open the email, add to calendar, mark as handled. Nothing happens until you press the button.

Your data stays where it is, and stays yours.

Mail stays on your server
Email bodies and attachments are read from your provider every time. We keep only a light index: sender, subject, date and the assistant's summary.
Remote images blocked
Remote images tell the sender when you open an email. They stay hidden until you show them.
Encrypted passwords
Mailbox credentials are encrypted (AES-256) and cannot be read back. After three rejected logins the mailbox pauses, so your provider doesn't lock it.
The assistant doesn't send
Email content is treated as data, never as instructions. The assistant prepares text; it doesn't send, move or delete.

Frequently asked questions

Do I need to change email address or provider?

No. Xtramail connects to the mailboxes you already have. You can keep using Outlook or your phone too: folders and read status stay in sync because they live on your server.

Can the assistant send emails by itself?

No. It prepares drafts, documents and suggestions. Sending always starts from a person.

Where does my email data go?

The content stays with your provider. When you use the assistant, the text needed is sent to the AI model (Anthropic's Claude) only for that task.

Who sees shared mailboxes?

The owner decides, mailbox by mailbox: one person, some colleagues or everyone. Whoever sees a mailbox can also send from it.

Does it work on a phone?

Yes, in the phone's browser. The installable app and notifications are coming.

How much does it cost?

Pricing will be per user per month, with an assistant allowance included. Meanwhile you can try it for free.
